Protect Your Utility Website Form Data

Think about sending a package. You seal it, add the address, hand it over, and watch it disappear from view. Your part feels finished, but the package still has a whole journey ahead of it.

An online form works a little like that. Someone enters their information, clicks Submit, and moves on. Behind the scenes, that information still needs to go somewhere. It may be routed to staff, stored in the website backend, included in a notification, or retained as part of an internal process.

The difference? Some of those “packages” may contain sensitive information. Knowing where that information travels and how it is protected along the way deserves a closer look.

Pick one of your utility’s forms. Let’s follow it from Submit onward.

Walk Through the Form

Choose a form on your website. It could be a start service application, rebate request, employment application, program registration, or another process your organization handles online.

Now, trace the information.

What Does It Collect?

The more sensitive the information, the more intentional its protection needs to be.

Fill out the fields from top to bottom. A general contact form may ask for a name, email address, and message. A start service application could include a service address, phone number, driver’s license information, or other personally identifiable information, commonly called PII.

The National Institute of Standards and Technology defines PII as information that can distinguish or trace someone’s identity on its own or when combined with other identifying information.

The information your organization needs will depend on the process. The goal is to understand what your form handles and which details may call for added protection.

Before moving on, ask yourself: What information could identify or be tied back to an individual?

Florida Keys Electric Cooperative pairs its online Residential Start Service Application with Powerful’s Premium Website Security and Monitoring to help protect sensitive information submitted through the form.

Where Does It Go?

With the package in transit, trace the route it takes.

Once the form is submitted, a confirmation message may mark the end of the experience on the front end. Behind the scenes, the information may remain in the website backend, generate an email notification, or continue into another internal process.

As you trace the submission, ask: Where is it stored? Who receives it? Does sensitive information appear in an email? Does it move into another system or workflow?

Sensitive information should stay protected at every handoff. Powerful’s Premium Website Security and Monitoring can automatically redact sensitive PII within the content management system and email delivery. AES-256 encryption also helps protect sensitive form data stored in the website backend database.

Know every stop on the route and make sure the protection travels with it.

How Long Does It Stay?

The request has been handled, the application processed, or the registration completed. Is the data finished too?

Form submissions can accumulate quietly. 1 becomes 50, then 500, and before long, the backend may contain information tied to processes that wrapped up months or even years ago.

There is no single retention timeline that works for every form or organization. Operational needs, internal policies, and legal or regulatory requirements can all influence how long information should remain. Retention should reflect a clear organizational need and include a process for periodic review.

Powerful’s Premium Website Security and Monitoring includes quarterly web form data audits and collaboration around data-retention best practices. Those reviews create a regular opportunity to understand what remains stored and evaluate it against your organization’s requirements.

As you trace your form, consider another question: What happens when this information no longer needs to be here?

The goal is to make retention intentional rather than letting completed submissions quietly pile up.

When Was the Form Last Reviewed?

Think back to when the form first went live. Has the process changed since then?

Maybe a field was added, a notification was rerouted, or different staff now handle the submissions. What began as a simple application may have gradually become a much larger part of an online process.

Those changes are normal, but they make periodic reviews worthwhile. As you review it, confirm that the form still collects the right information, reaches the right place, protects sensitive details appropriately, and reflects how your organization operates today.

A form that works well on the surface may still benefit from a closer look behind the scenes.

Periodic form reviews help utility teams confirm that data handling, routing, and access still align with current processes.

Keep Following the Data

By now, you have traced one form from the information it collects to where that information goes, how long it stays, and when the process was last reviewed. Try the same exercise with another form. You may confirm everything is working as intended or find a few places worth another look.

Powerful helps utilities protect sensitive form data, review stored submissions, and strengthen the security practices supporting online processes. If your walkthrough raises a question, Powerful is here to help you work through it.

Think back to that package. You would want to know it reached the right destination, passed through the right hands, and was handled appropriately along the way.

The form may be finished at Submit. The data still has a journey ahead.
